Areas of responsibility
- Planning, implementing, coordinating and monitoring all administrative procedures of the Director’s Office, in particular supporting the Director in operational tasks
- Handling correspondence in German and English
- Managing incoming and outgoing mail
- Monitoring and managing the institute’s budget and third-party funding
- Providing assistance for HR / budget planning for the entire institute
- Planning, coordinating and administering business trips and appointments
- Communication liaison for internal/external and international institute contacts
- Representing the Teaching Office
- Managing general institute requirements/orders via the SRM system
- Administration and maintenance of office technology/equipment
Requirements
- You will have successfully completed training as a European or foreign language secretary: office clerk, or similar qualification
- Excellent written language skills
- Strong ability to work and think independently
- Very organized in your work, reliable, highly resilient and conscientious
- Excellent teamwork and communication skills
- Excellent knowledge of MS Office, including SAP, Excel and Endnote, is desirable
- Confident, polite and professional presentation and good manners
